School Timetable Substitution

Please ensure that you have download the latest version:

 Step 1 : Create your Internet account by [Publish to web]

If you are not good use the mobile phone delivery system this step can be skipped.

You should now have 50 free mobile text messages to enable you to begin using the SMS substitution immediately.

Step 2:  Click on the [substitution] button

Once the substitution screen is open, click on the [settings] tab.

The  next button: This is positioned at the top left-hand corner and is yellow

 when there is anything  outstanding.

Complete teachers info:

       - Teachers room number: this is needed to direct the subst teacher to the

         correct room.

     - Cell phone number, if this system is to be used for quick delivery.

Specifying individual teacher’s substitution load:

All the teachers will automatically be set to 100%.

This school substitution system is fair and will rotate the teachers so that

all have an equal number of substitution lessons, according to their specified

percentage.

Example:  After two months the actual situation might be as follows:

% subst Total actual subst periods 100% 10 50% 5 0% None

Important  note: this school timetable substitution system works to ensure that 

each teacher has a fair amount of substitution classes, but the following  needs

to be taken into consideration when assigning the % subst

Let's  look at the following example:

-          Miss. Smith: 100% subst and teaches 50 periods per week.

-          Mrs. Bond: 100% subst and teaches only 20 periods per week.

The  above two teachers will end up having the same amount of substitution

lessons  but because Miss. Smith teaches more periods and is most probably

already  overloaded it would be better to reduce her % subst to perhaps 40%

and  keep Mrs. Bond on 100%.

To have this calculated automatcialy according to each teaches workload click on

[Auto assign % subst]

Step 3:  Use the substitution on a  daily basis

Once the initial setup is complete,click on [who's sick today].

- If a teacher is absent for the full day, double-click on his or her name.

- If the teacher will only be absent for certain periods, only click on said periods.

When this section is complete, click below on [print and sms].

It is always a good idea to have a reference printout for the day as well.
